Program Support Assistant

Reports to: Director of Teacher Resource Program

Description:
Hillsborough Education Foundation (HEF) is a non-profit organization dedicated to the mission to strengthen public education in Hillsborough County through advocacy, investment of resources, and programs that empower every student to achieve both academic and personal success. The Program Support Assistant is responsible for greeting incoming guests, general office reception, and administrative duties. This position primarily supports Teaching Tools Program but also supports other programs as needed. Additional administrative duties include administrative tasks related to volunteer onboarding. This is a full-time, non-exempt position working 40 hours per week, primarily Monday through Friday during regular business hours.

Responsibilities:

  • Provide excellent customer service as the first point of contact for guests. Answer, screen, and direct callers/visitors to the appropriate team member.
  • Perform basic office administrative tasks including but not limited to filing, printing, reporting, and emailing.
  • Support Teaching Tools with teacher shopping, online order processing, stocking, and fulfilling teacher orders.
  • Resolve issues for teachers who need assistance promptly and courteously.
  • Assist with volunteer onboarding and volunteer management.
  • Receive incoming donations and processing donor “Thank You” cards.
  • Ensure data integrity and accuracy within various software systems and reports.
  • Support other programs with administrative tasks as needed.
  • Perform other tasks as assigned

Requirements:

  • Education: High school diploma required. Associates degree or higher preferred.
  • 1 year of administrative assistant, program support, or customer service experience required. Prior experience in a non-profit organization preferred.
  • Proficiency in working with various computer applications, including Microsoft Office suite.
  • Ability to travel to events, which may occur in the early mornings, evenings, or on weekends.
  • Must be able to lift up to 50 pounds.
  • Must be able to pass a criminal background check

Job Type: Full-time

Pay: $33,000.00 per year

Accountant

Description:
This position will focus on the management of accounts receivable and accounts payable, daily cash deposits, and maintenance of the donor records database to ensure accuracy and usefulness.

Responsibilities include, but not limited to:

  • Prepares and enters bank deposits
  • Records cash receipts
  • Manages Accounts Receivables including recording, reconciliation, maintaining subledger, tracking, and reporting.
  • Prepares pledge statements and invoices.
  • Manages Accounts Payable function including entering invoices and expense reports, reviewing coding, processing cash disbursements, tracking, and maintaining charts and tables, and managing unclaimed property.
  • Gathers vendor quotes as needed and may prepare cost/benefit analysis.
  • Files 1099s
  • Prepares journal entries
  • Reconciles assigned subledgers to the general ledger
  • Coordinates with other departments and staff to ensure all transactions are properly and accurately recorded
  • Coordinates and works with vendors such as office equipment and building maintenance service providers.
  • Participates in and assists with Month End, Budgeting, Year-End, Inventory, and Annual Audit
  • Prepare various reports including activity reports, monthly financial and statistical reports, and bank deposit reports.
  • Perform other tasks as assigned

  • Minimum 2 years accounting experience required; Nonprofit or Government experience a plus
  • Minimum Intermediate Excel skills required
  • Knowledge of Accounting systems and software. Blackbaud a plus
  • Must be able to pass a background check

Job Type: Full-time

Pay: $46,000.00 – $50,000.00 per year

Warehouse Coordinator

Description:
This position will be responsible for the overall management of the Teaching Tools Program warehouse spaces and upkeep of the Store.

Responsibilities include, but not limited to:

  • Receive and process products which includes, but not limited to, picking, unloading, labeling and storing safely and efficiently in warehouse spaces.
  • Ensure a clean and safe working environment and optimize space utilization for all warehouse spaces.
  • Monitor, control and keep accurate records of product in and out of warehouse spaces.
  • Pick-up and deliver product.
  • Operate and maintain preventively equipment and company truck.
  • Stock, pack, and ship orders.
  • Work closely and with volunteers.
  • Other duties and tasks as assigned.
